E-Waste Pickup Checklist
Use this checklist to prepare for an e-waste pickup or IT asset retirement project. The goal is a smooth day of service with clean documentation and minimal disruption.
Before Pickup
- Choose a staging area (locked room or supervised space).
- Consolidate equipment by location to reduce internal movement.
- Decide disposition goals: recycle, destroy media, or remarket where appropriate.
- Confirm special handling needs (sensitive media, regulated data, ITAR scope if applicable).
Inventory and Labeling
- Create a basic inventory list (asset type, quantity, location).
- If needed for audits: capture asset tags and serial numbers.
- Label containers and group “data-bearing” devices separately where required.
Security and Access Control
- Limit who can access staged assets.
- Document handoff points (who released assets and who received them).
- Keep exceptions visible: damaged devices, missing tags, unknown quantities.
Pickup Day
- Assign one internal point-of-contact to coordinate.
- Confirm container counts before loading begins.
- Confirm any witnessing requirements if your workflow requires it.
- Reconcile on-site notes against the initial inventory list.
After Pickup
- Collect documentation and store it with the project record.
- Reconcile reports and address any exceptions quickly.
